CMS Manage Files Web Part

This Web Part is used by the CMS WebMaster to manage folders and/or files for use on the site.

Access

This Web Part is accessed by the CMS Admin Panel and the CMS Admin Web Parts Library.

Features

Features for the Manage Files Web Part include:
  • Upload a file to a folder
  • Delete a file from a folder
  • Review a file
  • Add a folder option
  • Modify the title, description and keywords of a '.aspx' file
  • The Web Part can be configured to be public or secure

Upload a File

Files are uploaded to a specific folder as follows:
  1. Select the folder where the upload may occur
  2. Browse to the file on your local machine by clicking the 'Browse' button
  3. Click the 'Upload File' button to save the file to the folder

Delete a File

Files may be deleted from the specific folder as follows:
  1. Select the folder where the file is located
  2. Select the file to be deleted
  3. Click the 'Delete' button to delete the file

Open a File

This section describes how to open a file.
  1. Select the folder where the file is located
  2. Select the file to be opened
    • if the file is an aspx page, then the title, description and keywords are displayed.
    • if the file is an image, then the image properties and the image is displayed.
  3. Click the "Open File' button to open the file

Rename a File

This section describes how to rename a file.
  1. Select the folder where the file is located
  2. Select the file to be opened
  3. Enter the new name of the file. This does not include the extension or file type.
  4. Click the "Rename File' button to rename the file

Modify Page Meta Data

The Web Part contains an option to modify title, description and keywords for the selected page.

The Title, Description and Keywords of aspx file types can be modified as follows:
  1. Select the folder where the file is located
  2. Select the file to be modified. The title, description and keywords of the aspx file are displayed.
  3. Modify the Title, Description and Keywords
  4. Click the 'Save' button to save the change

Add a Folder

The Web Part contains an option to add and delete folders to the list of managed folders.

Folders are added as follows:
  1. Select the folder that the new folder is contained in
  2. Enter the name of the new folder
  3. Click the 'Create Folder' button
  4. The new folder is added to the list of folders displayed in the top-left box.

Folders are deleted (from the list) as follows:
  1. Select the folder to be deleted from the list
  2. Click the "Delete Folder' button
  3. The folder is removed from the list of folders displayed in the top-left box.
    Note: The folder is NOT deleted from the website directory. Only the System Administrator can do that.

Security notes

The Web Part can be configured to be open or very secure. You decide how it is deployed. Configure the Web Part with the following options:
  • List of folders that users can access
  • Option to change Page Meta Data
  • Option to add and delete folders

Default actions available to the user (who can access the Web Part) include:
  • Upload a file to a selected folder
  • Rename a file
  • Delete a file
  • Copy a file

Folders are configured for the Web Part. If the website is partitioned such that multiple user groups are responsible for different sections of the website, configure a 'Manage Files' Web Part for each section and assign COR Roles to the Web Part. This ensures that only users of the correct User Group are allowed to manage files in their partition of the website.

Edit Properties

Custom Edit properties for Manage Files include:
  • A comma-delimited list of folders
    • Enter '/' to display files in the root folder of the website
  • A comma-delimited list of allowed extensions
  • A comma-delimited list of excluded extensions
  • Height of the listbox for files
  • Width of the listbox for files
  • Option to Read/write Meta Data
  • Option to add folders
  • Common COR Edit Features
